Goodman Jones LLP needed a faster way to create new client records in Dynamics 365. The existing process required partners and managers to complete an external form when bringing on a new client. An administrator would then receive the form submission, manually enter all the details into Dynamics 365, and create the client record.

This created a bottleneck. Partners often needed to reference client records immediately — to generate engagement letters, assign work, or simply confirm the client existed in the system — but had to wait for admin availability. The duplicate data entry also introduced errors and inconsistencies, with information sometimes transcribed incorrectly between the form and Dynamics.

The firm needed a way for fee earners to create client records themselves when urgency demanded it, without overwhelming them with the full client setup form that captures every possible field.

We built a "Fast Track New Client" button directly within Dynamics 365 that opens a streamlined client creation form with only the essential fields needed to get started.

Simplified Form Interface

The Fast Track form captures only what's needed for immediate client setup: client name, organisation type, primary contact details, address, partner assignment, and basic classification. Instead of the full client record with dozens of fields, staff see a clean, focused form they can complete in under a minute.

One-Click Access

A custom JavaScript button on the Dynamics 365 command bar launches the Fast Track form in a dialog window. Staff don't need to navigate away from their current view — they click the button, complete the form, and save. The client record is created instantly in Dynamics.

Automated Admin Notification

When a Fast Track client is created, a Power Automate flow automatically sends an email notification to the admin team. The email includes all the client details entered so far and a direct link to the record in Dynamics. Admins can then complete the full client setup — KYC checks, additional contacts, detailed company information — without the original bottleneck holding up fee earners.

Clear Audit Trail

Each Fast Track record is flagged in Dynamics with a "Fast Track Created" indicator, making it easy to identify which clients need additional setup and track completion status. Nothing falls through the cracks.

Partners and managers can now create client records in Dynamics 365 themselves, in under a minute, without waiting for admin availability. The admin team still handles the detailed setup, but the bottleneck is gone — fee earners get the records they need immediately.

The automated notification ensures no Fast Track clients are forgotten. Admins receive instant alerts with everything they need to complete the setup, and the flagging system provides visibility into what's been fully onboarded versus what's still pending.

The firm has eliminated duplicate data entry between external forms and Dynamics, reducing errors and ensuring client data is consistent from the start.
